Accessing results

When will I get my results?

For the January 2012 series, results for A Levels and GCSEs will be issued to centres via Interchange, EDI and A2C (for those centres which have already migrated to the new standard) at 00:01 on 7 March respectively, for release to candidates from 06:00 the following day (8 March). Results documents (statements of results, results broadsheets and all summary results documents) will be available to view/download from Interchange on the candidate release date. Where can I get results?

Results data will be issued in three formats:

  • EDI - Results files which can be downloaded to your management information system (MIS).
  • A2C - Results files which can be download to your MIS (for those centres which have already migrated to the new standards).
  • Interchange - You can view all your centre results on Interchange, filtering and sorting data by candidate or subject to view both unit and full award information.

For the January 2012 series, all results documents (statements of results, results broadsheets an all summary results documents) will be available electronically via Interchange.Read the full details of what will be available.

Who can access results documents (results broadsheets, statements of results) and when?

To download results documents you need access to Interchange and an appropriate user role. Anyone with one of the following three user roles can download results documents, from the dates shown below:

  • Centre Administrator – Full access to all results information from restricted results release (Wednesday 7 March). The Centre Administrator can also allocate all other roles within Interchange. This is usually the Exams Officer.
  • Results Full Access – Full access to all results information from the restricted results release date (Wednesday 7 March).
  • Tutor/teacher – Access to the ‘Results documents’ area from the candidate release date (Thursday 8 March).

How do I access Active Results?

Active Results is our free, online results analysis service, available to all Interchange users with the Tutor/Teacher role. To log in to Active Results, just go to www.activeresults.ocr.org.uk and enter your Interchange login details. Remember, Active Results is only available to existing Interchange users with the Tutor/Teacher role. To check your Interchange role, contact your Centre Administrator (usually the exams officer).

I'm having trouble accessing results from Interchange

I can't access Interchange - login/password issues, user role issues.

If you're having problems logging in (e.g. you have forgotten your password) or are concerned that your account rights are incorrect, please contact the Customer Admin Support Team (CAST) at cast@ocr.org.uk, quoting your centre number, and the team will be in touch as soon as possible.

I can't find Active Results.

To log in to Active Results, just go to www.activeresults.ocr.org.uk and enter your Interchange login details. Remember, Active Results is only available to existing Interchange users with the Tutor/Teacher role. To check your Interchange role, contact your Centre Administrator (usually the exams officer).

I’m having trouble finding what I need in Interchange.

To access these, log in to Interchange, hover over 'Results' in the left hand menu and click on 'Results documents' (or ‘Reports on moderated work’ for the report to a centre on moderated work).

You can also access results data by candidate or by qualification - just hover over 'Results' in the left hand menu and click on 'Results by candidate' or 'Results by assessment'.

To access post-results services, click on 'Post results' in the left hand menu and click on the service you need.

I'm experiencing technical problems in Interchange.

If you're having problems logging in (e.g. you have forgotten your password) or are concerned that your account rights are incorrect, please contact the Customer Admin Support Team (CAST) at cast@ocr.org.uk, quoting your centre number, and the team will be in touch as soon as possible.

If you are having other technical difficulties (e.g. Interchange is not working correctly, or you are having trouble accessing what you need) please contact the Customer Contact Centre on 01223 553998.

I'm having trouble accessing EDI results

I haven't received my results file.

You should contact your EDI carrier to see whether there has been a problem with your file.

I'm having trouble importing my results file to my management information system (MIS).

Please contact your MIS supplier, who will be able to investigate the issue and advise you of any further action you need to take.

What does the UMS mean and how is it calculated?

UMS stands for uniform mark scale/score. This is a scale that converts raw examination marks into a common scale to use in a unitised assessment system.

Raw marks for each assessment/unit have to be converted to a uniform mark scale or score. The weighting of units may vary, so conversion to UMS makes the marks compatible and comparable. UMS gives a fixed scale of marks with common thresholds that are unchanged series on series. Explanation of how the UMS is calculated and applied.

When and where will I be able to get results documents (e.g. moderation reports, grade boundaries)?

From the January 2012 series, we will no longer be issuing traditional, hard copy results documents. Instead, all results documents will be available via Interchange on the restricted results release date (see our Electronic results documents user guide (PDF, 876 KB) (PDF, 876 KB) for instructions on how and when to access these documents). When and where will results statistics be available?

I can only see unit results. Why do I not have overall results?

If you can see all the unit results and you think the candidate should have achieved an overall grade for the qualification, check whether you have made a certification entry. Without a certification entry, the unit results for that candidate will not be aggregated and they will not receive an overall grade. This is the case for all unitised qualifications, where you need to make both unit and certification entries. If you think you need to enter the candidate for certification, you can make a late certification request online via Interchange. (We do not accept paper requests for late certification.)

I'd like to use Active Results. What subjects are available and how do I access it?

I’ve applied for special consideration. How do I know this has been applied?

If a candidate was absent for a unit, the centre should consider the total uniform scores for the units for which the candidate was present and compare these with the score linked to the overall certification grade. The difference will be the enhancement granted for the units which were missed for good reason and the score may also appear against the missed unit.

I'd like to query results. What options are there?

Results are missing. What do I do?

Centres may request an investigation into a candidate's missing results via Interchange. Simply log in to Interchange and hover over 'Post results' in the left-hand menu, click on 'Missing and incomplete results' and then follow the on-screen instructions.

I don’t think the results are correct. Can I do anything?

For results that appear to be missing or incomplete, you should submit a missing and incomplete results query (MIR). If you disagree with the results and require the marking or moderation to be reviewed, you may wish to submit an enquiry about results (EAR) (see the OCR Admin Guide: 14-19 Qualifications (PDF, 1 MB) for details of the services available and the associated deadlines).

I've applied for a post-results service. When will I receive the outcome?

If you have submitted a missing and incomplete results query (MIR) or late certification request, we will deal with these as quickly as possible - we may need to contact you for additional information. For access to scripts requests (ATS) or enquiries about results (EAR), the relevant deadlines and delivery dates can be found in the JCQ Post-Results Services booklet. For EARs, the timescales for outcomes are as follows:

  • Service 1 clerical check - within 20 calendar days
  • Service 2 review of marking - within 30 calendar days
  • Priority Service 2 review of marking - within 18 calendar days
  • Service 3 review of moderation - within 40 calendar days.

We are usually able to complete enquiries well within these timescales. For priority service 2 requests for candidates who have a university place pending, we aim to complete these by 31 August.

I'm not happy with the outcome of a review. What do I do?

Centres have the right to appeal the outcome of an EAR - appeals must be submitted within 14 calendar days of the outcome (see the JCQ post-results services booklet).

How much do post-results services cost?

Missing and incomplete results queries (MIR) and late certification requests are free of charge. Fees for access to scripts requests (ATS) and enquiries about results (EAR) can be found in the OCR Fees List. I am concerned about the whole cohort - what should I do?

You should consider submitting a sample of candidates for a Service 2 enquiry about results (review of marking) - the sample should consist of a minimum of 8 candidates or 10% of the cohort (up to a maximum of 20 candidates).

I have received the outcomes of my enquiry about results for my sample cohort - do I meet the criteria for an extended review of marking?

If the JCQ criteria are met, the Post Assessment Services Team will contact you. Centres who do not quite meet the criteria but are still concerned should put their concerns in writing to the Post Assessment Services Manager by fax on 02476 496507.

Certificates

When will I receive certificates?

For the June 2011 series, we will despatch your certificates by 31 October 2011.

Some certificates are missing. What do I do?

If any certificates are missing from the despatch, please report these in writing to OCR Centre Services before 30 November to get a free replacement. From 1 December, each replacement will cost £35. Please keep the certificate register for use when liaising with OCR over missing certificates.

I have some incorrect certificates. Can I have replacements?

Following an enquiry about results leading to a grade change, yes. See "I need replacement certificates following a review", below.

To correct personal details, yes. However, before certificates are issued, centres should check that candidates' details are correct as, once they are issued, there will be a charge for personal detail amendments (e.g. to correct name misspellings). Amended certificates can be issued for six months, after which centres must apply for a certifying statement of results. I need replacement certificates following a review. What do I do?

Please return the certificate showing the incorrect grade(s) to OCR Data Capture, with a covering letter, using a trackable method of postage (e.g. Recorded Delivery). We will then arrange for a replacement certificate to be sent to you, free of charge.

Please note: we cannot issue a replacement certificate if the original has not been returned to us.
