If individual certificates are lost or damaged within the centre, we will issue free replacement certificates for a limited time. Following this time, a charge will be made (see the Fees List). After a further period, we will no longer provide replacement certificates and centres will be issued with a certifying statement of results, which is an official copy of the results.
The table below shows when charges apply and for how long replacements will be provided before certifying statements will be issued.
Please send centre requests to replace missing certificates to the Results Team at firstname.lastname@example.org. Requests to replace damaged certificates should be sent to the Results Team, OCR, 1 Hills Road, Cambridge, CB1 2EU together with the certificates. If candidates lose or damage a certificate, they should either make a request through their centre or use the relevant application form available from the Learners and parents area.
Certificates are issued in the legal name of the candidate at the time the award is made. Therefore, once certificates have been printed, it is not possible to change whole names. However, it is possible to correct spelling mistakes or the wrong date of birth. Requests and certificates should be sent to the Results Team, OCR, 1 Hills Road, Cambridge, CB1 2EU, together with a copy of appropriate documentation, e.g. birth certificate. We recommend you return certificates using a trackable method of postage such as Recorded Signed For.
You can make amendments to candidates’ personal details until certificates are printed. In general, this is as follows:
Any requested changes after certificates have been printed will mean certificates have to be re-issued and replacement certificate charges will be applied (see the fees list).
Replacement certificates will only be issued for a limited time (see above). After this time, centres will be issued with a certifying statement of results. This is an official copy of the final examination results held by OCR and can be used as proof of qualifications gained.
For vocational qualifications, we can provide replacement certificates to centres for:
If requests are made within three months of the certificate issue date, replacements will be provided free of charge. Please email your request to Ops.VRQTeam@ocr.org.uk or post your request and certificate to OCR, Westwood Way, Coventry, CV4 8JQ.
A fee is charged for each replacement certificate more than three months after the date of issue. Please see the Fees List. Please email your request to VQHistoricalRecords@ocr.org.uk or post your request and certificate to VQ Historical Records, OCR, 1 Hills Road, Cambridge, CB1 2EU.
Note: candidates should either make a request through their centre or use the relevant application form which is available from the Learners and parents area.
