Online claims FAQs for Visiting Moderators

I have completed the sample request and submitted it, but I have made a mistake. How do I correct this?

You cannot correct the sample request once it has been submitted. Please remember to save the sample request and view it to check before you send it. If you have sent it by mistake and need to add candidates to the sample request, you will need to email the additions to the centre.

I have received a claim from a centre. The centre has contacted me to say they have a) entered a candidate on the claim they should not have or b) claimed an incorrect grade for a candidate. How can this be corrected?

Only the Visiting Moderator can correct a centre's claim after they have submitted it. Encourage centres to check the View Claim carefully before they send it, to minimise incorrect claims. At or after the visit only, you can take two possible actions:

  • If a large number of errors have been made, select Review Claim and withdraw the whole claim and then ask the centre to re-create it.
  • If there are a small number of errors, select Review Claim and withdraw all affected units by centre assessor and grade which include the incorrect claim(s).
  • Where a group of candidates are affected by this action, the centre will have to submit another claim to reclaim for all the correct claims. If this is a small number, the centre should be encouraged to do this whilst you are there. You can then review the claim before you leave.
  • If it is a large number, you may want to review the claim after you have left the centre, but you will not need to revisit. Remember to make notes of the changes you expect and check the View Claim before you review. In this case you can exclude the sample stage.

I have received a claim from a centre. The centre has entered the incorrect centre assessor details on the claim. What should I do?

The claim cannot be changed after submission. If the centre has substituted your name for their only assessor, you can continue as normal and make a note on your report. Please advise the centre that the centre assessors make the assessment decisions in the centre, not the OCR - appointed moderator. If there are several centre assessors working on different units, you will probably need to withdraw the whole claim and get the centre to complete it again. You can do this before sampling takes place and before your visit.

A centre has contacted me to say they cannot see all the units on Interchange. How should I respond? (For example, a centre may have made unit entries, but may be trying to claim for a unit for which they have not entered.)

Ask the centre to check that the entries have been made and were made at least 48 hours before they looked for them. This is the amount of time needed for data to pass between systems, be processed, and pass back. This applies where specific units are missing, or whole qualification entries. If centres cannot see candidates, you should ask them to use the search box as sometimes the data re-orders based on changes made.

What should I do if a centre is not ready to make claims, but wants me to look at marked assessment objectives and give advice?

Firstly, you should stress that centres should make finalised claims wherever possible. If they want additional guidance on new or incomplete units, you need to make sure that you have agreed before the visit exactly what units, assessment objectives, and marking you will see.

The centre should not use the online claims system until they are fully confident of their judgements.

Even if there are no signed-off claims, you must still complete a report.

What do I do if I can't agree with the centre on processing claims? For example, they want a Merit, but I can only give a Pass, and they want to improve the work?

You should use the unit/assessor withdrawal buttons:

  • Withdraw claim - For an individual grade
  • Withdraw all - For an assessor's grades for a particular unit.

Do not use the Withdraw All Centre Claims button.
