Once you have submitted your teacher assessed grades to the awarding bodies by the deadline of 18 June, you will be asked to upload samples of candidate evidence.
For GCSEs and A Levels, all the JCQ awarding bodies will be working together to agree the samples of candidate evidence each school or college needs to submit. Awarding bodies are planning to send the sample requests from 21 June and you’ll have 48 hours from when you receive the request to upload your sample to the relevant awarding body.
In most cases, you’ll receive a request from one awarding body (sent to the exams officer email address) but you may receive a request from more than one depending on your qualification entries.
The sample request will contain the qualification and candidate details for the evidence you need to upload.
You’ll need to submit a sample as follows, with material for at least five students for each subject.
Each sample must include:
Where available, the sample should include:
See our info sheet for more details.
The process for other general qualifications and our vocational qualifications is very similar to GCSEs and A Levels. We’ll email you by 25 June (by 24 June for centres in Northern Ireland) to let you know whether you need to upload a sample or not. You’ll then have until 30 June to upload your sample.
The sample will include:
See our guidance documents for more details:
Once you receive your sample request(s), you will need to prepare your samples. You can upload files for each candidate. You can also upload files as ‘additional material’ which apply to all of the candidates in the sample.
The portal accepts most common file types, including Word documents, audio files, images, data files, presentations, video files and web files. The full list of accepted file types is:
The maximum file size is 15MB for image files or 4.2GB for all other file types. If your file is over the maximum size, you must reduce that file’s size using a tool such as Handbrake or split the file into separate files.
Please use the following formats when naming your files:
Please do not use special characters such as apostrophes in the file name. You cannot upload files with the same name for the same candidate.
Take a look at our training video which guides you through the process of uploading your samples in real time.
You need the Centre Administrator role in Interchange to be able to access the quality assurance portal. Log in to Interchange and hover over and then click on ‘Quality assurance samples’ in the left-hand menu. If you cannot view this menu item, please contact us at email@example.com.
Click on the button at the bottom of the page to go to the portal.
The portal runs differently on some web browsers. We recommend you use Google Chrome when logging in.
When you have logged into the portal, you will see all the qualifications we have asked for a sample. If we’ve not yet contacted you to tell you which qualification we want to sample, you won’t see anything listed here.
Click ‘Access Candidates’ to upload the sample for that qualification.
To upload evidence for the individual candidates requested in the sample, click ‘Access Evidence Folders’ for each candidate.
If you need to upload supporting information which applies to all of the candidates in the sample, click on ‘Additional material’.
Click ‘Upload a file’ for each file you wish to upload. You must upload one file at a time.
The system will time out an hour after you log in. Files already uploaded will be saved, but any files that are partway through uploading will need to be uploaded again.
If you upload a file in error, you can delete it using the grey cross, here:
Please make sure you upload every piece of evidence for each candidate.
Each file will be checked for viruses as you upload it so you will need to allow time for large files to be checked. If you need to upload a file larger than 2GB, please allow at least 5 minutes before uploading another file. Large files will need a good Internet connection to upload successfully.
If the file uploads and then appears to ‘disappear’, please wait and do not upload the file again. This may simply be the virus scanning taking place. If the file has not appeared after 30 minutes, please try again.
When you have uploaded all the files for a candidate, click ‘Next candidate’, or click the ‘< Candidate’ link to go back to the qualification page.
Once you have uploaded all of the evidence for the candidates including any additional material that relates to all candidates for a qualification, click ‘Submit’.
A declaration will then appear. Please tick this and then click the ‘Submit’ button. Once you’ve pressed the submit button, you cannot upload additional files or delete the files for that qualification so make sure you have uploaded all the files you need for all the candidates in the sample.
