Reduction in assessment

With the approval of the DfE, we are allowing the number of assessments of Cambridge Nationals and Cambridge Technicals moderated units to be reduced in 2021/22 where disruption to teaching and learning has been so great that it is necessary. This reduction is only available for those units that were planned to be assessed in 2021/22.

Our new ‘reduction in assessment’ area of Interchange is now available for you to:

  • Tell us which Cambridge Nationals and/or Cambridge Technicals units you are using the reduction in assessment for
  • Upload your Head of Centre declaration.

Please do this by 15 May 2022.

We’ve provided step-by-step instructions below and there's more detail in our FAQs. We've also created videos to guide you through the reduction in assessment area of Interchange.

Please note that, if you are not planning on reducing any assessments, you do not need to submit any forms or upload your Head of Centre declaration.

Cambridge Nationals students certificating after 2021/22

For Cambridge Nationals students certificating after 2021/22 (for example, your Year 10 students or Year 11 in Northern Ireland) we need to know how many students you are using a reduction in assessment for by 15 May 2022.

1 Log into Interchange and access the online form

To do this, log into Interchange, hover over ‘Reduction in assessment’ and click on ‘Cambridge Nationals’ in the left-hand menu. You will need the Interchange Centre Administrator role to view this menu item.

Click on the form linked to in the text, as shown in the screenshot below.


2 Complete the online form

  1. Enter your centre’s details and click 'Next'.
  2. Select the qualifications you are using the reduction in assessment for and click 'Next'.
  3. For each qualification, tell us the number of students you are using the reduction in assessment for in a unit. Leave the unit box blank if you do not have any students using the reduction in assessment for that unit.
  4. Then tell us the series you intend to make the certification entries.
  5. When you have done this for each qualification, you can click 'Submit'. 

We will ask you to supply the individual candidate details later, in the series they will be certificating.

Cambridge Nationals students certificating in 2021/22 and all Cambridge Technicals students

These instructions apply to Cambridge Nationals students who are certificating in June 2022 and all Cambridge Technicals students who require a reduction in assessment for 2021/22 regardless of when they are completing their qualification. 

1 Access the reduction in assessment area of Interchange

To tell us the units where assessment is being reduced by 15 May 2022, log into Interchange, hover over ‘Reduction in assessment’ and click on ‘Cambridge Nationals’ or ‘Cambridge Technicals’ in the left-hand menu. You will need the Interchange Centre Administrator role to view this menu item.

Select the series for Cambridge Nationals or the current year (2022) for Cambridge Technicals from the dropdown menu.

You will see the following:

  • For Cambridge Nationals, you will see all the qualifications you have certification entries for in the June 2022 series.
  • For Cambridge Technicals, you will see all those qualifications where you have made qualification entries since 1 August 2020.

If you do not see a qualification, you may need to check you have made your entries.


2 Choose your qualification and download the template

For each qualification you want to reduce an assessment for, click on ‘Edit’ and you will see a screen similar to the following:


Click on ‘Download New Template’ to download a spreadsheet containing all the moderated units for that qualification. Further instructions are available in the spreadsheet's help tab.


3 Complete and upload your spreadsheet

For each student where reduction in assessment is being used, enter ‘Y’ or ‘y’ in the relevant unit column.

You must not enter anything where reduction in assessment is not being used.

When you have completed and saved your spreadsheet, click ‘Upload file’ then ‘Choose File’ and browse to your saved file. Click ‘Open’ and then ‘Upload’.

You will see the following message while the file is being validated. Do not refresh this screen. Instead, you can click ‘Back to dashboard’ to see the latest status of your file.


As validation may take a few minutes, you may need to refresh the dashboard screen if the file has not validated immediately. You do not need to stay on this screen while the file is validating.

If there are any errors, the qualification status will show as ‘File has errors’. Click ‘Edit’ and then ‘View errors’ to download a spreadsheet listing any errors in the file.

To fix the errors, you can either:

  • Edit the file you uploaded – If you need a copy of this, click on ‘Download your uploaded file’.
  • Start again and complete a new file – You can download a new blank template by clicking ‘Download New Template’.

You can then upload the replacement file by clicking on 'Replace file'.

4 Submit your spreadsheet

As soon as a qualification status shows as ‘Ready to Submit’ you can submit your file to us. To submit your file, either select the check box on the individual row or click the top check box to select all files with a Ready to Submit status and click ‘Submit’.


Click the checkbox and click on ‘Confirm and Submit’.


You will see the status changes to ‘Submitted’ on the dashboard.

5 Resubmitting a spreadsheet

If you need to replace a spreadsheet after you have submitted it, you can click on 'Reopen' on the dashboard and replace the file. You can do this as many times as you need to until the deadline of 15 May.

Upload your declaration

After you have told us about the units where assessment is being reduced, you need to upload a declaration by your Head of Centre or senior leader by 15 May 2022. This asks your Head of Centre or senior leader to confirm the requirements we have asked centres to observe have been followed. 

You only need to complete the declaration once as it applies to all Cambridge Nationals and Cambridge Technicals students that you are requesting a reduction in assessment for, regardless of when they are completing their qualification. 

  1. Access the Head of Centre declaration page. To do this, log into Interchange, hover over ‘Reduction in assessment’ and click on ‘Upload Head of Centre Declaration’ in the left-hand menu. You will need the Interchange Centre Administrator role to view this menu item.
  2. Select ‘2022’ from the dropdown menu.
  3. Click on the 'Download declaration' link and send the declaration to your Head of Centre/senior leaders.
  4. Your Head of Centre or senior leader should now complete, save and return the declaration to you.
  5. Click ‘Upload Declaration’ then ‘Choose File’ and browse to the saved file.
  6. Click ‘Open’ and then ‘Upload and submit’.
  7. Your file has now been uploaded and submitted to OCR. You can check the file you have uploaded by clicking ‘Open PDF’.

You do not need to do anything else. However, if you need to replace the file before 15 May, click ‘Replace’ and upload your replacement file.
