You can use A2C or Interchange to make entry amendments and withdrawals.
Use the same method you used to submit the original entry file. For example, if you submitted the original entry file through A2C, use A2C for any amendments or withdrawals.
If you use a different method, the information in your amendment file will overwrite the original entry information on our systems.
If you made your initial entries through Interchange but later submit EDI files, make sure your system can generate EDI amendment files beginning with ‘A’ without producing an ‘E’ entry file first.
You can amend qualification details until the amendments and withdrawals deadline for the series. This is usually about one week before results are issued (see key dates).
After this deadline, we can only accept corrections to a candidate’s personal details.
Personal details are the information used to identify the candidate for their entry.
You can use A2C or Interchange to amend personal details until the amendments and withdrawals deadline for the series.
After this deadline, you need to email any amendments entries@ocr.org.uk.
If the amendment is to the candidate’s name, this can be made until certificates are printed. Once certificates have been printed, they will need to be reissued and replacement certificate charges will apply.
The exception is where a candidate is undergoing gender reassignment. In this case, previous certificates can be reissued in their new name. Contact the results team at ocr.results@ocr.org.uk.
If the candidate’s name was correct at the time of award but changes later, we cannot reissue the certificate in their new name. If the candidate is taking other qualifications in a later series, make sure their new name is recorded on your MIS, through A2C or Interchange, and with the Learning Records Service.
For students not certificating, examined and non-examined assessment (NEA) unit entries can be withdrawn until a week before results are issued (see key dates). For students who are certificating:
If certificating students are absent from the exam, please submit a special consideration request via the special consideration online portal on Interchange. You must not withdraw the exam entry.
For students who met the terminal rule in a previous series, are entered for an exam resit and decide not to resit, there is a contingency arrangement for them to receive a result. The result would be based on the series when they met the terminal rule. To use this arrangement, you must withdraw all unit entries before the date of the exam and keep the certification entry only in place. Please note you cannot use this arrangement if you withdraw the unit entries on or after the date of the exam.
We will refund the entry fee automatically if the withdrawal is received by the relevant deadline.
Withdrawals received after the relevant deadline will not be refunded, unless the candidate is withdrawn on medical grounds or following bereavement.
We will refund entry fees for medical grounds or bereavement if the candidate is withdrawn up to one week before the results publication date.
To claim a refund, email supporting evidence to entries@ocr.org.uk:
If a candidate sits an exam but does not have an entry, submit an entry amendment through Interchange or A2C immediately after the exam.
Late entry fees will apply.
These candidates are sometimes referred to as ‘pirate candidates’.
Once you’ve made your amendment/withdrawal, make sure your own management information system (MIS) is up to date.
If you make amendments through A2C, the amended details will feed back to your MIS automatically. However, if you make amendments through Interchange, the changes will not automatically feed back into your MIS.
Make sure any amendments made to candidate details are consistent with the details at Learning Records Service (LRS). If they are not consistent, the candidate’s unique learner number (ULN) will no longer be valid.
